Spring Cleaning for Your File Server and Your Teams Sprawl

Every company file system tells the same story. A folder called Final, next to Final v2, next to FINAL USE THIS ONE. Seventeen Teams channels, four still active. A shared drive where the 2019 holiday party photos live beside the payroll exports, with the same people able to open both.

The mess is not just ugly. It slows people down, breaks new hires, and quietly creates security problems, because nobody can say who has access to what.

A cleanup that actually sticks

  • Archive by date first. Anything untouched in two years moves to an archive area. Nothing gets deleted, so nobody panics, but the working space gets dramatically smaller.
  • Rebuild around how work happens now. Departments and clients, not the org chart from 2018. Fewer top level folders beats clever deep hierarchies every time.
  • Fix permissions while you are in there. Payroll, HR, and financials get restricted to the people who need them. This is the security payoff hiding inside the tidy up.
  • Kill the dead Teams channels. Archive them; the history stays searchable. Fewer places to look means people actually find things.
  • Write the one page rule sheet. Where new files go, how things get named. One page, posted where everyone sees it. More than a page and nobody reads it.

The businesses that stay tidy do a light version of this once a year and let their IT partner enforce the permissions part. Book a free consultation if your shared drive has become an archaeology site.
